Import your prices

Upload the rate sheet a supplier sent you. RoundPlan reads it, proposes the entries and the prices, and stops at a review screen before anything reaches your library.

Your rates already exist. The green fee list a resort sends before the season, the room rates a hotel quotes for next summer, restaurant menus, activity prices. Import reads those documents and turns them into library entries, so you do not type any of it in again.

The Import prices button sits next to Add on Courses, Hotels, Restaurants and Activities, and on the page of every entry in them. Start from a supplier's own page and the import lands on that supplier.

Reading the document

1. Choose a PDF up to 4 MB, or paste the text instead. A long pasted document is read in parts.
2. Say where the content is from if it helps, something like Algarve, Portugal. It gives the AI context for the places it is reading.
3. Press Read the document. A dense contract can take up to a minute.
4. You land on the review screen with the entries and prices it found.

If the contract runs to fifty pages, upload only the pages with the rates on them. That reduces the rows it gets wrong, and it keeps you under the size limit. Imports draw on the same monthly AI allowance as itinerary generation, which you can see in Settings.

Nothing is saved until you tick it

Every row shows what the document said, what it will become in your library, and the prices attached to it. Edit a price there, name anything new, and untick what you do not want. The Save button counts only the rows you left ticked.

When a name in the document could be two different courses in the database, RoundPlan does not pick one for you. The row asks. When a shorter name can only mean one course, it ticks that course for you, and one click removes it.

One document, several courses

A resort sends one rate sheet covering its three courses, priced by season and by how many rounds the group plays. Those courses appear as chips on the row. Remove one, add one the AI missed, or search the database for the right match. Remove every chip and the row becomes a course of your own instead.

Next season's sheet, onto the entry you already have

Open the course or hotel you already use, press Import prices there, and the new sheet lands on that record. RoundPlan lists every price that differs from the one you hold, and you decide line by line: use the imported price, keep yours, or keep both. Keep both when the new rates start mid-season and the old ones still apply. RoundPlan never renames a label you wrote yourself.

What it reads

• Courses: seasonal rates, prices by number of rounds, twilight and nine-hole rates, and whether a buggy or trolley comes with the fee or is charged on top.
• Hotels: room types with their nightly rate, and board bases such as breakfast or half board, priced per person.
• Restaurants: menus per person. Activities: their own options.
• When a green fee list shows both the public price and the net rate for your agency, the net rate is the one that imports.

The contract stays with the entry

After a PDF import RoundPlan keeps the file it read and attaches it to every record the import touched, under Documents. Six months later, when someone asks what that green fee included, the original sits next to the price. The conditions in the document go under Terms on the same entry, where you can edit them.

All of it is private to your agency. An import never changes the shared course database, and no other agency sees your rates.
