Golf trips come with details other travel software does not expect

Six people are flying to the Algarve for five nights. Four are playing three rounds. Two are coming for the holiday but not the golf. One course has a handicap limit. Another has a twilight rate. The golfers need buggies, while Thursday's wine tasting is only for the two non-golfers.

Those details affect the itinerary and the price the client sees. RoundPlan gives them somewhere to live from the moment the trip is built, rather than leaving them across a spreadsheet, supplier emails and notes.

Price golfers and non-golfers separately

Start with the two numbers that matter: how many people are travelling and how many of them are playing.

Green fees and buggies can be charged to the golfers. Hotels and transfers can be charged to everyone. Restaurants and activities can be set for everyone, golfers only or non-golfers only.

RoundPlan calculates a price per golfer and a price per non-golfer from the same itinerary. The client sees both on the trip page, with golfers-only items clearly marked.

For the agency, the pricing table can switch between the cost per golfer and the total for the group.

Add the course with the golf details already attached

Choose a course from the shared catalogue and its client-ready information comes into the trip with it: photos, description, holes, par and the green fee in the club's own currency.

The course also carries information that matters when arranging the round, including handicap limits, ballot access and whether buggies or trolleys are included or separately priced.

Set the tee time in its own field and it appears with the round on the client's trip page.

Agencies can also add and manage their own courses.

Green fees

Keep every rate the club sends you

A course might have an adult rate, a junior rate, twilight and super twilight prices, seasonal rates and multi-round packages.

RoundPlan keeps them as separate named rates on the course. When you add the round to a trip, choose the rate that applies and use that cost in the proposal.

If the club sends its rates as a PDF, import the file instead of entering every row manually. RoundPlan reads the rates and presents them for review before anything is saved, including whether each price is per round, per person or a total.

Hotels

See which courses a hotel works for

The shared hotel catalogue links hotels with the golf courses around them and shows how far away each course is.

That makes it easier to compare accommodation around the rounds the group is actually playing, including hotels on site at a course and those a short drive away.

Payments

Let each traveller pay their share

Split an expected payment across the group and RoundPlan creates a separate share for each traveller. Each share has its own payment link, while the agency sees them together with a running count of who has paid.

Connect the agency's Stripe account and travellers can pay by card. The payment goes directly to the agency's Stripe account. RoundPlan does not hold the money or take a cut, although Stripe's normal processing fees still apply.

Each link only asks for the amount still outstanding. Payments made outside Stripe can also be recorded manually.

The payment page carries the agency's name and logo, with no RoundPlan branding.

Ask it to work on the trip, not just answer questions

The assistant can work with the agency's own trips, contacts and suppliers, together with the shared course catalogue.

Ask it to build or edit itinerary days, find courses and hotels, set rooms or change the margin. The changes appear in the trip as it works.

If the libraries do not contain what you need, the assistant can search outside RoundPlan and bring back information for you to save.

Changes to CRM data are not made silently. The assistant presents them for approval first.

Who is RoundPlan for?

RoundPlan is for agencies that sell golf trips to groups. It covers the work from enquiry and proposal through to bookings, payments and invoicing, with the golf-specific details kept inside the trip.

Why use golf-specific software instead of a general travel platform?

Because the itinerary and the price depend on golf-specific information.
